Everything you need to get started and get the most out of CareSphere.

Getting Started

🚀 First-Time Setup

  1. Log in with the credentials provided by your administrator
  2. You'll land on the Dashboard — your daily overview
  3. Check My Tasks for any assigned compliance items
  4. Navigate using the sidebar — all modules are listed there

👤 User Roles

  • Owner/Admin — Full access. Manage settings, users, facilities, templates, and view all data.
  • Nurse — Clinical access. Document med passes, manage clients, record incidents, complete tasks.
  • Med Tech — Document med passes, view clients and prescriptions. Limited clinical scope.
  • Prescriber — Manage prescriptions and orders for linked clients.
  • Auditor — Read-only access to all data and reports.

Module Guides

💊 Electronic MAR

The eMAR is your daily medication administration record.

  • Select the date and facility at the top
  • Each client shows their scheduled medications as colored dots
  • Blue (clock) = Due, Green (check) = Given, Red (X) = Missed
  • Click a blue dot to document: select Given/Refused/Held/Omitted, choose auth method, add notes
  • PRN medications have a separate "Log PRN" button per client

👥 Client Management

  • Click Clients in the sidebar to see your roster
  • Filter by Admitted/Discharged status
  • Click Add Client to admit a new resident (photo, demographics, allergies)
  • Click a client to see their full profile with tabs: Overview, Emergency Info, Allergies, Contacts, Prescriptions, Goals, Orders, Visits, Documents
  • Use Discharge/Readmit buttons in the client header

✅ Compliance Tasks

  • My Tasks shows your personal task list grouped by urgency
  • Overdue tasks appear in red at the top — complete these first
  • Click Complete on any task, add optional notes, and it's done
  • Use checkboxes to bulk-complete multiple tasks at once
  • Admins can create ad-hoc tasks and manage templates in Task Management

🚨 Incident Reporting

  • Click Report Incident to document falls, behavioral events, medication errors, etc.
  • Select the type, severity, client (optional), and facility
  • Describe what happened, what action was taken, and any witnesses
  • SEVERE and CRITICAL incidents automatically email administrators
  • Admins can resolve and close incidents with follow-up notes

📋 Shift Notes

  • Select your facility, today's date, and shift type (Day/Evening/Night)
  • Click Start Shift Note if one doesn't exist yet
  • Add categorized items: Medication, Behavioral, Health, Appointment, Maintenance, General
  • Link items to specific clients when relevant
  • The previous shift's note shows below for handoff context

🎯 ISP Goals

  • Create goals with a target frequency and measurement type
  • Measurement types: Yes/No, Rating Scale (1-10), Percentage, Duration, Count, Narrative
  • Click a goal to expand and record daily attempts
  • Track progress with simple visual indicators
  • Complete or discontinue goals when appropriate

🔧 Maintenance Tickets

  • Any staff member can submit a maintenance ticket
  • Set category (Plumbing, Electrical, HVAC, etc.), priority, and location
  • Admins can assign tickets, update status, and add comments
  • HIGH and URGENT tickets automatically email administrators

📁 Document Vault

  • Upload care plans, ISPs, consent forms, and other documents
  • Categorize and link to specific clients
  • Set expiration dates for certifications and consents
  • Track acknowledgments — staff click "Acknowledge" after reviewing a document
  • Optional SharePoint integration for M365 organizations

📊 Reports

  • MAR Sheets — monthly medication grid, print-ready for surveys
  • Missed Doses — track undocumented medications by date range
  • Active Clients — roster with current medications
  • Maintenance Summary — ticket counts and status
  • Audit Trail — full history of who did what, when
  • Readiness Report — compliance score by facility and category
  • All reports support Print and CSV Export

Administrator Guides

⚙️ Settings

  • Organization — Update your org name, address, contact info
  • Facilities — Add, edit, or deactivate locations
  • Users — Invite staff, assign roles and facility access
  • Training — Track staff certifications and expiry dates
  • Catalogs — Customize dropdown options (frequencies, routes, etc.)
  • Audit Log — Search and review all system activity

📐 Task Templates

  • Go to Task Management → Templates tab
  • Create recurring requirements: "Monthly Fire Drill", "Annual Physical Exam"
  • Set scope (Per Client, Per Facility, Per Org), recurrence, default assignee role
  • Tasks are auto-generated by the system on schedule
  • Set reminder and escalation timing per template
